You finally have people signing up for your email list — amazing! But now what?
If your subscribers aren’t hearing from you right away (or worse, not at all), you’re missing a huge opportunity to build trust and turn interest into action. That’s where a welcome email sequence comes in.
As someone who helps small businesses with email marketing strategy, I often get asked: “What should I say in my welcome emails?”
Let me walk you through why this sequence matters and how to create one that actually drives results.
What Is a Welcome Sequence?
A welcome sequence (also called an email onboarding sequence) is a series of automated emails sent to new subscribers after they join your list. These emails are your chance to introduce your brand, provide value, and guide people toward your offer — all without being pushy.
It’s more than just a “thanks for signing up” — it’s the first step in building a relationship that can lead to conversions.
Why a Welcome Sequence Matters
Your welcome sequence sets the tone for your entire email relationship. It helps your audience:
Learn who you are and what you offer
Know what kind of emails to expect from you
Begin to trust you as a helpful, reliable source
Take their next step (booking, buying, or replying)
💡 Did you know? Welcome emails have some of the highest open rates of any type of email — making them a powerful part of your email marketing funnel.
What to Include in Your Welcome Sequence
Here’s a simple 3–5 email flow I recommend for most of my clients when setting up a welcome sequence for email marketing:
Email 1: The Warm Hello
Thank them for subscribing, deliver your freebie (if you offered one), and let them know what to expect in future emails. Make it personal, friendly, and aligned with your brand voice.
Email 2: Your Story & Mission
Share why you do what you do and who you serve. Let your audience connect with the person behind the brand. This is especially powerful for service-based businesses and personal brands.
Email 3: Provide Value
Offer a few tips, tools, or insights related to your niche. This builds trust and gives people a reason to keep opening your emails.
Email 4: Showcase Your Offer
Introduce your main product or service with a soft pitch. Show how you’ve helped others or explain how someone can work with you. Add a clear call to action (CTA) — book a call, reply, or check out a service page.
Email 5 (Optional): Social Proof + Next Steps
Share testimonials, case studies, or links to valuable content. Then tell them what to expect moving forward (e.g., weekly tips, exclusive updates, etc.).
Best Practices for Writing Your Welcome Sequence
Be consistent with your tone – Match your brand’s personality.
Use clear subject lines – Make it obvious what’s inside.
Keep it concise – Don’t overwhelm your reader right away.
Use one CTA per email – Make it easy to take action.
Add visuals or branding – If your platform supports it, include your logo or signature design elements.
